Imagine setting a clear limit on how many employees within a department can be on holiday at once. Breathe’s automation takes care of the rest! Here’s how it works:

  • Setting Departmental Rules: Define the maximum number of simultaneous holiday-takers per department.
  • Seamless Approvals: If an employee’s leave request falls within the limit, Breathe automatically approves it. Both the employee and their holiday approver receive email confirmation of this automated approval. If there’s no designated approver, HR users get notified.
  • Manual Review for Exceptions: Leave requests exceeding the departmental limit? No worries! They get routed to the employee’s holiday approver for manual consideration.

Enabling Automation:

The Holiday approval automation feature comes pre-enabled in your Breathe account for Regular plans and above. But, you have the flexibility to turn it on or off if needed. Here’s how:

  1. Navigate to “Configure” > “Settings” > “Modules” > “Included modules.”
  2. Ensure the “Holiday approval automation” module is checked.

  4. Use the edit and delete icons on the Departmental rules page to manage existing rules.

Reporting on Automated Approvals – Stay Informed!

Breathe’s Leave overview report keeps you informed about all approved leave records, including those approved through automation. Here’s how to access it:

  • HR users and Line Managers with enabled permissions can go to “Reports” > “Absence reports” > “Leave overview.”
  • Any holiday automatically approved by a set automation rule will show the Admin as the person who approved it.
  • The “Automated approval” column will display “Yes” for these automated approvals.

  • When are Automation Rules Excluded? Rules won’t apply if HR settings disable approval for leave requests, leave is added on behalf of an employee, or leave is added via API.
